When you send an email, you might notice that your signature isn’t visible while writing. Don’t worry—it’s automatically added at the end of every email.
If you’ve created an email signature and want to remove it, here’s how.
1. Outlook (Desktop / Old Outlook)
Steps to delete a signature via the Settings menu:
Open Outlook on your desktop.
Navigate to File → Options → Mail → Signatures.
Within Select signature to edit, choose the signature you want to remove.
Click Delete and confirm if prompted.
If signatures still appear—or you can't remove old ones:
Contact Helpdesk ([email protected] / helpdesk.outdoornetwork.com
-
Open File Explorer and go to:%AppData%\Microsoft\Signatures
In that folder, delete all files or folders related to outdated signatures (including .htm, .rtf, .txt variants). After clearing, restart Outlook and verify whether old signatures have been removed.
Note: This method addresses issues where legacy signature data persists even though it’s no longer visible in the Outlook interface—seemingly due to caching or profile changes.
2. Outlook on the Web (Outlook Web App – OWA)
Steps to remove a signature via the web interface:
Go to office.com and sign in to your Outlook inbox.
Click the Settings (⚙️) icon → Account → Signatures.
Under the Email signature section, locate and delete the signature content in the editing box (clear the text).
Under Select default signatures, choose (No signature) for both New messages and Replies/Forwards dropdowns.
Click Save to confirm the changes.
Summary Table
Platform | How to Remove Signature |
---|---|
Outlook Desktop (Old Outlook) |
File → Options → Mail → Signatures → Select signature → %AppData%\Microsoft\Signatures folder to remove lingering entries. |
Outlook on the Web & New Outlook | Settings ⚙️ → Accounts → Signatures → Clear signature content → Set default options to (No signature) → Save. |
Why These Steps Matter
Desktop Outlook stores signatures in both settings and on disk. Even if removed from the UI, lingering files may cause old signatures to reappear. Removing files from the%AppData%\Microsoft\Signatures
folder ensures a full clean.
(Microsoft Learn)Outlook on the Web uses a separate profile for signatures. Clearing the signature content and choosing No signature ensures none are inserted automatically on new emails or replies.

Additional Tips
Always restart Outlook after removing or altering signature files to make sure the changes take effect.
Make sure you’re working in the correct profile or tenant—especially relevant in organizations with roaming signatures or automated signature policies.
If persistent issues remain, contact your IT administrator—there could be a Group Policy or company-wide configuration enforcing signatures.
